VisitDallas is a not-for-profit organization comprised of professionals serving as the sales and marketing arm for Dallas. Our mission is to promote Dallas as the ideal business and leisure destination to the regional, national, and international marketplace, and to favorably impact the Dallas economy through conventions and tourism.
Our efforts have significantly increased awareness of Dallas locally, nationally, and internationally, and have resulted in Dallas being recognized as one of the top convention destinations in the nation and the number one visitor destination in the state of Texas.
As a key member of the Executive Management team, the Chief Financial Officer will assume a strategic role in the overall management of VisitDallas. The CFO will have primary day-to-day responsibility for planning, implementing, managing and controlling all financial-related activities of the company. This will include direct responsibility for accounting, finance, forecasting, property management, analysis, negotiations, investor relationships and partnership compliance.
A. Prepare and present monthly financial reports on a timely and accurate basis with constructive recommendations to strategically enhance financial performance and business opportunities.
B. Effective management of VisitDallas cash flow, maximizing interest on available resources, minimizing interest on loans, balanced against timely payment of vendors and obtaining the required balance of short and long-term funding to optimize VisitDallas cost of financing.
C. Manage and maintain records on financial commitments for future booked business including the source of funding, typically from the Dallas Tourism Public Improvement District or the state event trust funds.
D. Control over the fixed, cash and other assets of VisitDallas, as well as identify, acquire and implement systems to provide critical financial and operational information to support this.
E. Preparation of VisitDallas’ annual budget working with the Executive Management Team and by incorporating the short and long-term goals and objectives of the strategic plan.
F. Ensure that effective internal controls are in place and ensure compliance with applicable federal, state and local regulatory laws and rules for financial and tax reporting.
G. Prompt and proficient response to the needs of all user groups (e.g. payroll, financial reporting, budget preparation, cost input, reimbursements, etc.).
H. Accountable for the development and maintenance of systems and procedures for all aspects of the Finance and Accounting functions of the organization. Including, but not limited to:
i. Manage accounting systems and procedures to ensure strong internal controls, along with timely and accurate reporting.
ii. Ensure that all billing procedures are performed on a timely basis, and that appropriate efforts are made to collect all outstanding amounts; this applies, to receivables for sales, services, and membership dues.
iii. Assist in the development of policies and procedures to ensure that the all administrative aspects of VisitDallas function effectively.
iv. Protection of assets through internal audit, inventory, insurance coverage, and ensure that accounting and administrative procedures are designed to maintain high standards of internal control over VisitDallas’ assets.
I. Serve as a financial liaison to VisitDallas and Dallas Tourism Public Improvement District boards and committees, briefing the CEO, COO and the Board Chairs regularly on financial status. Develop and deliver presentations as required.
J. Maintain records and documentation to support all accounting activities and entries.
K. Oversee activities in the accounts receivable, accounts payable, payroll and general ledger applications.
L. Responsible for ongoing analysis of VisitDallas’ financial affairs, identifying areas for cost saving and for more efficient utilization of the VisitDallas’ funds and resources.
M. Work with the Director of Information Systems to ensure
i. state-of-the-art hardware is in place to maintain maximum efficiency in data processing and generation of reports;
ii. staff have the necessary hardware, software and training to effectively perform their jobs.
N. Work with the Sr. Director of Human Resources Development to ensure that
i. all compensation and benefits programs (medical, retirement, etc.) are cost effective and that benefits for employees are balanced against costs to VisitDallas;
ii. VisitDallas has comprehensive coverage and is insured against third party and public liability claims at premiums which are most cost-effective to the organization;
iii. 401k and 457b Retirement Plans are managed, recorded, and reported appropriately.
O. Direct annual audit, tax, and 990 processes and prepare comprehensive documentation to support assets, liabilities, and expenses (where appropriate) to ensure cost effective use of audit firm(s) time and rapid progress in completion of the above.
P. File tax returns, 990s, and any other relevant required financial information, and remain current on audit best practices as well as state, federal and local legislation.
Q. Continually monitor the purchasing policy for all departments to ensure cost effective purchasing and to enable departmental expenditures to be tracked and controlled.
R. Perform Treasury functions as a custodian of funds, securities, and assets of the organization.
S. Establish and maintain strong relationships with appropriate financial institutions for funding and cash management purposes, strategic alliances with vendors, and business partners.
T. Analyze studies of general economic, business, and financial conditions and their potential impact on the organization’s plans and operating budgets.
U. Additional tasks as assigned by the President/CEO.
The position reports directly to the President & CEO. This position will oversee the Finance/
Administration Department Staff.
PREFERRED KNOWLEDGE/EDUCATION • Bachelor’s and/or advanced degree in accounting or finance fields; CPA Strongly Prefered
Education and Experience- • Minimum of ten years working experience in supervisory financial management capacity, with experience in the following areas: Payroll, General Ledger, Accounts Payable & Purchasing, Insurance, Accounts Receivable, and Financial Analysis • Experience in non-profit organizations • Experience in a related industry with detailed working knowledge of the hospitality industry and best practices in customer service
